Privacy Policy — Circle
Service: Circle ("we", "us") — the operations platform for trucking companies, delivered through the web app and the messaging apps carriers and their drivers already use. Version: 4.0 · Effective: 2026-10-22 · Contact: security@horizonlogistics.info
Circle is used by trucking companies ("carriers") to run dispatch, drivers, fleet, safety, pay and finance. Each carrier's data is kept separate from every other carrier's. This policy explains what data Circle processes, why, who it is shared with, and the choices available to the people whose data it handles.
1. Who is responsible for what
- For a carrier's operational data (its drivers, trucks, loads, pay, documents, connected accounts), the carrier decides what is collected and why; Circle processes that data on the carrier's instructions to provide the service. Requests about that data are handled together with the carrier.
- For account, sign-in, website and demo data, Circle is responsible directly.
2. Information we process
- Account data: the identity used to sign in (for example a messaging-app username and display name, or a work account), role and workspace membership.
- Staff and driver records entered by the carrier: name, phone, address, driver-license number and state, medical-card and other qualification dates, emergency contact, pay type and pay terms.
- Operational data: loads, stops, appointment times, statuses and ETAs; truck records; safety incidents, inspections, permits and compliance items; tasks, announcements and directory entries.
- Location and hours-of-service data from the in-vehicle devices and services a carrier connects: truck positions, odometer readings and driver duty status.
- Financial data: pay statements, deductions, reimbursements, settlements, invoices, fuel and toll transactions and — only where a carrier connects a bank account — bank balances and transactions (see §4). We do not collect Social Security numbers or full bank account or routing numbers.
- Connected business accounts: when a carrier connects business accounts, document sources, vehicle devices, fuel accounts or a bank account, we process the information they provide to deliver the features the carrier has turned on.
- Messages with Circle: group membership, messages and taps sent to Circle in a messaging app, and the messages Circle sends, so that dispatch, statements and alerts can be delivered.
- Website and demo: details submitted through the "Let's talk" form (name, company, fleet size, messaging username, other contact details, message) and the identity used to enter the public demo, together with basic technical data (IP address, browser, referring page).
- Technical data: sessions, security and activity logs, and error reports.
3. How we use it
To provide the service the carrier signed up for: dispatch and load tracking, driver communication, fleet and maintenance, safety and compliance monitoring, driver pay, fuel, IFTA and financial reporting. We also use data to secure the service, prevent abuse, respond to support requests, meet legal and tax obligations, and — for website and demo contacts — to follow up about Circle.
Automated processing. Documents and messages a carrier connects or sends to Circle may be processed automatically, including with AI-assisted processing, to record operational information (for example a load number, an insurance change or an inspection date) in the carrier's workspace, where the carrier can review and correct it. Circle does not use carrier data to train AI models.
4. Bank data
Where a carrier connects a business bank account, bank data is retrieved through our bank-data provider, Plaid Inc., whose handling of that data is governed by its End User Privacy Policy (https://plaid.com/legal/#end-user-privacy-policy). Bank login credentials are entered directly with that provider and are never seen or stored by Circle. A connected account can be disconnected at any time, which ends ongoing access.
5. Sharing
We do not sell personal data, and we do not share one carrier's data with another. We share data only with:
- Trusted service providers that help us run Circle, under contracts that limit their use of it (for sign-in, message delivery, bank connections, hosting, mapping and AI-assisted processing), and the outside services a carrier chooses to connect.
- The carrier's own team, according to the roles the carrier assigns. Pay rates are shown only to the driver types the carrier allows.
- Authorities, where required by law, regulation or a valid legal process.
6. How we protect it
Each carrier's data is kept separate and is available only to that carrier's authorized users, by role. We use industry-standard encryption in transit and at rest. Details are in the Information Security Policy.
7. Retention
We keep data only as long as needed to provide the service and to meet legal and tax obligations, then delete or anonymize it. Carriers can export their data at any time and their workspace is deleted after cancellation. See the Data Retention & Deletion Policy.
8. Your choices
- Drivers and staff may ask their carrier, or contact us, to access, correct or delete personal data held about them. We act on the carrier's instructions and on legal obligations.
- Carrier administrators may export or delete workspace data, disconnect any connected account, and remove team members at any time.
- Website and demo contacts may ask us to delete their details at any time. Requests go to security@horizonlogistics.info. We honor them unless a legal or tax retention obligation applies.
9. Children
Circle is a business service and is not directed to anyone under 18.
10. Changes
We may update this policy. The effective date above reflects the latest version; material changes are communicated to carrier administrators.
